APPLICATION PROCESS

Organisations interested in sponsoring or exhibiting will receive a link to complete an application booking form to register their interest. All sponsorship applications are subject to approval by the WMS Committee.  

Each organisation is responsible for coordinating its sponsorship and exhibition applications internally. If you have received the sponsorship and exhibition at WMS 2025 link, and you aren't your organisations primary contact person, you won't be able to complete the application booking form. This is to ensure fairness, as only one application per organisation will be considered, and the first application received will be reviewed. 

Confirmation

Upon confirmation of an application booking, sponsors will receive a detailed confirmation email along with the WMS Congress Sponsorship and Exhibition General Terms and Conditions (contract). By approving and accepting the application, sponsors agree to:

  • Review, complete, and sign the WMS Congress Sponsorship and Exhibition General Terms and Conditions (contract);
  • Submit a signed and completed risk assessment; and
  • Provide liability insurance if the sponsorship package includes an exhibition stand.
Payment and contract
All prices quoted are net. The legal value-added tax (VAT) will be included upon invoicing.

Full and final payment is due 45 days from the invoice date. All payments need to be accompanied by the fully signed WMS Congress Sponsorship and Exhibition General Terms and Conditions (contract). 45 days after the date of invoice or seven days in the six weeks prior to the start of the Congress.
Payment in full must reach us no later than 30 days before the Congress. All transaction and exchange fees must be covered by the payer.

Receive a 10% discount by submitting your signed contract and full payment promptly. For information on payment deadlines, kindly refer to the Key Dates and Deadlines page

Sponsors are responsible for covering any bank charges or currency exchange fees related to their transactions. If these fees are not covered, they will be invoiced separately.

All payments must be received before the start of the Congress. If payment is not received, the organiser reserves the right to cancel your booking. Cancellation fees, as outlined in the contract, will apply.

V.A.T.
For sponsorship and exhibition sales to businesses outside the EU, the sale is outside the scope of UK VAT therefore no VAT will be charged. For sponsorship sales to businesses within the EU, the sale is subject to the reverse charge rules, and no VAT will be charged by the WMS Congress Ltd as long as the sponsor’s EU VAT number is provided during the booking process.


SPONSOR AND EXHIBITOR REGISTRATION

For sponsor and exhibitor registration there is no group registration. This means that each person who will be attending will have to be registered individually by the primary contact. 

As with previous WMS Congresses, member and non-member industry registrations for WMS 2025 will be capped. For WMS 2025, the cap is set at 30% of the total available registrations. Tickets included in sponsor and exhibitor packages count towards this 30% allocation.

The purpose of this cap is to ensure that the Congress remains an open and welcoming educational forum. To manage the 30% cap, the organisers have set registration limits per sponsorship item. Each sponsoring organisation, including subsidiaries, parent companies, and affiliated organisations, is responsible for managing its global registration limit. Staff must be instructed to use their business email address when registering.

If you can see your organisation is a confirmed sponsor on our sponsor’s page, but you are not sure who the global coordinator is, please contact the Congress organisers and we will be happy to assist you with contacting your global coordinator. 

Sponsorship tickets for Healthcare Professionals (HCPs) are not included in your allocated quotas. These professionals should register for non-industry tickets using their academic organisational email and will undergo the standard vetting process. If needed for sponsorship purposes, invoices can be amended to allow settlement on behalf of your organisation.

For WMS 2025 there is no limit on industry virtual tickets per global organisation, including any subsidiaries, parent companies, or affiliated organisations. We will of course monitor and review the situation regularly to make sure that the industry attendance across all ticket types is being used fairly and by a wide selection of industry partners and delegates, rather than dominated by a select few.

Congress delegate ticket breakdown
Exhibition stands will receive full Congress tickets based on booth size. All exhibitors will be identified with an "E" (Exhibitor) displayed after their name on their badge, as well as a digital exhibitor badge on the delegate list within the app/platform.

Recipients of a Symposium session will be provided full Congress tickets and Symposium support staff tickets (only valid for the duration of the Symposium tech rehearsal and the sponsor’s Symposium). All Symposium sponsors will need to use full Congress tickets within their allocation for their speakers. 

Social activities and networking event tickets are not included in the complimentary full Congress ticket. These can be purchased at an extra cost during the registration process.

We ask all sponsors and exhibitors to respect the 30% industry cap for the WMS 2025 Congress in Vienna. If this cap is exceeded—such as through badge swapping—it could have significant consequences for sponsors and exhibitors at future WMS Congresses.

Ticket type
Each industry sponsor will receive tickets as outlined in the sponsorship package. Additional tickets cannot be purchased beyond these allocations.
Full Congress tickets These tickets provide full access to the WMS 2025 Congress, including the Congress platform and app. They do not include access to networking functions or group activities, but these can be purchased during registration.
Exhibitor support tickets These tickets allow access to the exhibition area for setup, assistance, and breakdown of the exhibition booth. They do not include access to sessions, networking activities, or group activities.
  • one ticket per exhibition stand is allocated.
  • this ticket is for an A/V technician or an exhibitor appointed contractor supporting your booth.
Symposium support tickets These tickets allow access to your Congress symposium for setup, assistance, and breakdown only. They do not include access to Congress catering, sessions, meeting rooms, networking activities, or group activities.
