EVENTS WITHIN THE CONGRESS

Industry Symposium - £84,000

Number available - eight

60-minute official non-CME WMS Industry
Symposium

  • the Symposium programme is subject to approval by the WMS Programme Committee
  • the Symposium emphasis should be educational and related to a topic pertinent and of interest to the field of neuromuscular disorders that has not recently been highlighted
  • the inclusion of purely promotional content is discouraged
  • we advise that you provide the topic in addition to any novel, innovative or interesting ideas you will bring to the WMS 2025 Congress ie. new speakers, and practical application of treatments. Providing as much information as possible at this stage will greatly assist the Committee during the selection process.

To align with the aims of the WMS Equity, Diversity and Inclusion Committee, key initiatives that the WMS Programme Committee will review for consideration will be racial diversity, gender balance, geographic representation, career stage, frequency of previous invitations, balance of disciplines represented in invited speakers and moderators.

These are guidelines and will continue to evolve. They aren’t intended to be restrictive or prohibitive for sponsors but more collaborative to incorporate the feedback we’ve received from delegates over the past few Congresses by trying to avoid having the same or similar presentation and presenters from the same sponsor year after year.

Tickets

  • each Industry Symposium includes six full Congress tickets (excluding social activities)
  • five Symposium support passes (only valid for the duration of the sponsor’s own Symposium)

Industry sessions will be clearly indicated in the programme as: “WMS Industry Symposium” not included in the main event “CME/CPD credit offering”. 

Support will be acknowledged in the sponsorship section of the event website, app, and platform. 

Digital full-page brochure advert 
Those companies that secure a symposia will also be given a full page within the brochure to promote their symposia but can purchase additional adverts if they wish.

150 Legacy tokens
Each symposia sponsor will receive 150 legacy tokens as part of their package to promote their session. Tokens will be handed out to the first 150 delegates attending your session. 

A slide will be provided and shown before the start of a symposia session that will explain the Legacy Token Initiative, and how the delegates should use them.

Catering guidelines for Symposia sponsors

Costs and arrangements
Catering will be at the sponsor’s expense and must be arranged and paid for directly with the venue catering team.

Morning Symposia
Sponsors are required to provide tea, coffee, and a light breakfast as a minimum.

Catering set up

  • buffet-style catering will be available in the foyer outside the Symposium halls during the hour before your session
  • service may begin 30 minutes prior to the Symposium start time, provided your team is ready
  • delegates should be able to take food and drink to their seats for the presentations

Sustainability
We encourage sponsors to consider food waste when placing catering orders.

Branding and set up

  • up to two banners (maximum height: 2.5m) can be displayed in the catering area.
  • a few high tables can be arranged — please contact the catering team to coordinate.

EXHIBITION SPACE

Exhibition booth information

When applying for your stand on the application, please indicate your size preference. A detailed floor plan will be put together based on the requests and made available as soon as possible after all exhibition space has been allocated and bookings have closed.

Should you require an additional stand for medical/commercial use, a large stand can be purchased, and the booth design will need to include a split of the space.

Please be mindful of the environmental impact of larger stands and single-use elements of them.

There is a maximum of one stand per global organisation, which includes any subsidiaries, parent companies or affiliated organisations. 

Exhibition booth design

Please kindly note that all exhibition booth designs must be submitted by the date outlined in the key dates and deadlines table. Each exhibition booth has to be approved by the Austria Center Vienna. Apart from shell scheme stands, this regulation applies to all self-constructed stands. The WMS asks that accessibility plays a role at the heart of each exhibition booth design. For the WMS 2025 Congress in Vienna, each exhibition booth must be easily accessible. This means that exhibition booths cannot be raised from the floor unless a ramp or railing for access is provided. We recommend a carpeted exhibition space.  

Breakdown

We ask that all exhibitors please adhere to the date and time provided in the deadlines and key dates table for the breakdown of the exhibition booth. The Austria Center Vienna strictly prohibits the breakdown of exhibition booths before the end of the Congress. Therefore the breakdown team will only be allowed access to the venue to begin breakdown on the date and time specified on the key dates and deadlines page.

MARKETING OPPORTUNITIES

Digital brochure

In line with the development of the WMS Sustainability Policy, there will be no full printed programme book this year. However, industry partners can benefit from a digital brochure that will be emailed to all delegates who have chosen to receive marketing materials on several occasions in the lead-up to the event. It will also be available for delegates to access via the app and on screens at the venue. As a digital file, not only are we not limited by space, allowing all companies who are interested to purchase adverts within the brochure, but we also have the opportunity to make those adverts ‘clickable’ so that they link through to a website of your choosing to further maximise the impact that they have.

Exclusive email shot - £3,000*

Gain additional exposure for your Symposium, organisation, or exhibition booth by sending out an email shot to the pre-registered delegates who have agreed to receive promotional material, at a date and time coordinated with the Sponsorship Manager and Communications Manager.

Each email shot will only feature one company. Following feedback from delegates, the number of email shots available has been limited and only one can be booked per company meaning that the impact of each email shot has been increased. The designed email (HTML- format with WMS 2025 design requirements) and the preferred “Subject”

are to be provided by the sponsor. The “from” field will be the WMS Congress Office and will contain the Industry Support Disclosure (full details will be provided nearer the time).

All content needs to be submitted no later than the submission date provided on the key deadlines and dates page.

Please email high-resolution Vector or PDF files of your logo where requested during the application process for the WMS to feature your organisation on our social pages.

We would like to highlight that all sponsors will benefit from recent developments in our social media marketing activities across various platforms including Facebook, Instagram, and LinkedIn. Our main focus is to create a community for our members before, during, and after the Congress, which will enable us to maximise benefits and promotions for our sponsors. We highly encourage sponsors to engage with us to take advantage of this opportunity. 

In due course, we will provide a guide for promoting your participation at the WMS 2025 Congress on your own social media platforms.

The onsite badge printing kiosks are the initial point of contact for delegates, making this a prime sponsorship and making it a key space for one sponsor to promote their branding on the kiosks. 

The kiosks will be branded with sponsor branding and have the WMS 2025 Congress branding on the screen. The final branding files will be developed in-house with our graphic designer and applied by the supplier of the kiosks. Support for the kiosks ensures a positive and organised start for every delegate.

Charging stations - £10,000

Each station is equipped with twenty four secure lockboxes, ensuring a safe and convenient way for delegates to charge their devices while they’re engaged in Congress activities. 

The charging stations will be fully branded with sponsor branding, in addition, the WMS 2025 Congress branding will be on the screen.


Meeting pod - £10,000

Sponsor a branded meeting pod to provide delegates with a dedicated space for one-on-one interactions. 

Equipped with power outlets, USB charging points, air charging facilities, desk lamps, and comfortable seating, these meeting pods are designed to seat groups of two to four people and are for the use of all the WMS 2025 delegates.

The pods will be in the exhibition hall. The meeting pods will be branded with the WMS 2025 Congress branding and sponsor branding. The final branding files will be developed in-house with our graphic designer, and applied by the supplier of the meeting pods.

The WMS 2025 photo booth will be a highlight of the networking dinner. Positioned in a high-traffic area, the booth will be fully branded with your organisation’s logo, alongside WMS 2025 Congress branding. As delegates share their photos during and after the event, your sponsorship will extend its reach beyond the venue.

MEETING OPPORTUNITIES

Meeting rooms

More information will be provided in the updated version of the sponsorship and exhibition at WMS 2025 website. 

Sponsors will have the opportunity to apply for one meeting room, per organisation, for the duration of the Congress (Tuesday to Saturday until the end of the last Congress session). AV and catering can be ordered through our venue contacts, the details for which will be provided at a later stage.

Pre and post-Congress delegate registration list

While we consider the delegate registration list to be a value-added benefit for our sponsors, our primary focus must remain on ensuring a pleasant experience for our delegates. We believe that respectful and meaningful interactions between sponsors and delegates will greatly contribute to achieving this goal.

From July, lists will be provided monthly including the delegate’s first name, surname, professional role, organisation, country, and prescriber/non-prescriber status, accompanied by usage guidelines. All lists provided are subject to delegate consent upon registration. If consent is withdrawn, delegates will still have the opportunity to interact with sponsors and exhibitors during the meeting or via the virtual platform/app.

Any complaints from delegates regarding the list will result in its revocation for all parties involved.
